∙ Generic AAPM Letterhead is available through the HQ office. This letterhead consists of the AAPM logo and name, with no address information. This letterhead should be used for all AAPM business.

∙ The generic letterhead is intended for use by the Chairs of AAPM Councils, Committees, Subcommittees and Task Groups in the conduct of official AAPM business.

∙ Subcommittee and Task Group Chairs are required to clear external correspondence with their Committee Chairs before sending out a letter on AAPM letterhead. Committee Chairs are required to consult with their Council Chairs before sending out a letter on AAPM letterhead.

∙ A copy of all external correspondence that goes out on AAPM letterhead must be sent to the AAPM Executive Director. The Executive Director will include this copy in the next EXCOM report.

∙ At the beginning of the year, committee members receive an official letter of appointment from the AAPM President. The following text is used in the letter:

"Please do not design and use your own letterhead for AAPM-related correspondence. This practice has resulted in the AAPM logo appearing on different, unauthorized letterheads. A generic letterhead has been designed for distribution to chairs who find it inappropriate to use their institutional letterhead for AAPM correspondence. If you serve as chair and need this generic letterhead, contact the AAPM Executive Director. We ask that you send to the AAPM Executive Director a copy of any external correspondence sent on AAPM letterhead."
