Presentation Categories
Submit an Abstract

An exciting and educational program is planned for the 41th Annual AAPM Meeting. The meeting will feature scientific sessions in varied topics in radiation therapy and imaging physics, as well as Scientific Symposia, Refresher Courses and Continuing Education Courses. The program will include the following:

President's Symposium: Intravascular Brachytherapy
Professional Council Symposium: TBA
Educational Council Symposium: Internet Tools for Education

Scientific Symposia will include Advancements in Breast Imaging, ImagingTumor Physiology, Advancements in 2-D and 3-D Image Visualization, Evaluation of Perfusion by MRI, Volumetric Dose Reporting, Forward and Physical IMRT, Changes to TG-43, Feedback Radiotherapy, Monte Carlo Calculations

Morning Refresher Courses will include Diagnostic Topics: Detective Quantum Efficiency, Computed Radiography, Patient Dosimetry in Radiography & Fluoroscopy, Spiral CT, Reconstruction Techniques, Teleradiology, PACS/DICOM, Fast Imaging Methods in MRI, Ins & Outs of MR Andiography, Radiation Measurements & Standards; Therapy Topics: Modern Linac Commissioning, Prostate Brachytherapy, Gamma Knife, Manpower Issues, New 10 CFR35, Micro/Mini MLCs, Information Systems, Virtual/Dynamic Wedges, Biological Indices in Planning

Continuing Education Courses will include a series on; MRI, Nuclear Medicine, Mammography, Ultrasound, Special Dosimetry Measrements (incl. TG-51), and IMRT.

AAPM members and non-members are encouraged to submit proffered on all new technologies for Scientific Sessions on computer-aided diagnosis, new detector systems, optimization of the imaging chain, breast imaging, dosimetry, 2-D & 3-D visualization techniques, IMRT optimization /planning, prostate and intavascular brachytherapy, and feedback/gated radiotherapy.

Oral, Poster and Electronic sessions as well as Paper exhibits will be included in this year's program.

January 15 On-line abstract submission form available on AAPM Homepage (http://www.aapm.org)
February 5 Hard copy abstracts submissions must be received at AAPM Headquarters by 5 p.m.
February 19 Hard copy abstract corresponding author will be provided with re-keyed abstract for final review.
February 27 Corrections to the re-keyed abstract must be returned to AAPM Headquarters no later than 5 p.m.
March 3 On-line abstracts submissions must be received at AAPM Headquarters by 5 p.m.
April 15

Works in Progress abstract announcement, Annual Meeting Preliminary Program and registration materials mailed to membership.

May 2 Abstract authors will be notified of acceptance or rejection.
May 15 On-line Works in Progress abstract submission form available on AAPM Homepage (http://www.aapm.org)
May 30 Hard copy Works in Progress abstracts submissions must be received at AAPM Headquarters by 5 p.m. Works in Progress will be poster presentation only.
June 5 On-line Works in Progress abstracts submissions must be received at AAPM Headquarters by 5 p.m.
June 15 Final date to register for Annual Meeting and take advantage of a discounted early registration fee.
June 20 Works in Progress abstract authors will be otified of acceptance or rejection. Works in Progress authors may register for the Annual Meeting at the discounted registration fee.
July 1 1999 Annual Meeting Program/Abstracts available on AAPM Homepage.
July 25 - 29 Annual Meeting will be held at the Opryland Hotel Convention Center, Nashville, TN

Instructions to Authors
• Abstracts must not exceed 250 words, which includes Titles and formulas. Abstracts that exceed 250 words will be rejected. No graphs, figures, tables or images are allowed in abstract text; abstracts containing graphs, figures, tables or images will be rejected.
• Abstracts submitted should be original work, and should NOT have been presented at any other national or international conference held in the United States.
•Supporting documentation is strongly encouraged. The title of the abstract should appear on each page. Note that if more than 2 pages are submitted, only the first 2 will be sent to the reviewers.
• If you are planning a Works in Progress submission, please keep in mind that all Works in Progress presentations will be 4' x 4' posters. See dates listed above regarding submission deadlines.
• The corresponding author must acknowledge that all authors have contributed to the abstract.
• The corresponding author must disclose any financial affiliations.
• The Program Committee reserves the right to reject abstracts.
• Authors who submit abstracts that are accepted should understand that they will be required to pay the regular registration fees for the conference that all attendees are required to pay.

Instructions to Young Investigators

• All instructions given above apply to Young Investigator submissions.
• The Young Investigator Presentation Mode Requested checkbox should be checked.
• A Young Investigator is defined as a current graduate student or postdoctoral fellow in a medical physics or equivalent training program, or anyone who has completed such a program within 18 months of the meeting.
• A letter of eligibility from the author's sponsor identifying the institution must be forwarded to AAPM HQ by March 10.
• A panel of judges will score each paper presented in this symposium according to scientific merit, originality, organization and presentation of the material. Awards will be presented to recipients during the Awards Ceremony at the AAPM Annual Meeting. Papers submitted, but not selected for this symposium, will also be considered under the subject category for the scientific sessions.

• Only one submission from each Young Investigator can be submitted for consideration for the Young Investigator Symposium. (Note, however, the NEW Oral Presentation Policy below).

Presentation Categories
Oral Presentation

This category entails a short 8 minute verbal presentation to a live audience. Dual projection 35 mm slide capability will be available. Other audio visual needs require specific approval from the Scientific Program Director. In addition, a 4' x 4' poster should be prepared for posting. Posters must be displayed for the entire meeting. Abstracts will be published in Medical Physics. Abstracts not accepted for Oral presentation will be considered for Poster or Paper presentation.

Oral Presentation Policy

An individual may present only two oral proffered presentations at the meeting, although the individual's name may appear on more than two abstracts. If a presenter has submitted several abstracts for oral presentation, the highest-two scoring abstracts will be selected, unless the presenter has requested otherwise.

 

Poster Presentation
This category is a scientific exhibit. It consists of a full-size (4' x 8') poster with a thorough description (abstract, introduction, methods, results, discussion, references) of the scientific topic. Posters may include high quality photographs, figures and graphics. While high quality science is of primary concern, the presentation of a visually appealing and well designed poster is encouraged. Push-pins will be provided, but authors may wish to use Velcro strips for mounting poster elements. (Use the hooked side of the Velcro strips on the back of your poster). Posters must be displayed for the entire meeting. Poster presenters will be expected to be present at their poster for a 90 minute period as listed in the meeting schedule. Abstracts will be published in Medical Physics. Abstracts not accepted for Poster presentation will be considered for Paper presentation.
Electronic Poster Presentation

This category is a scientific exhibit that includes computer hardware. Participants in this category will be required to provide, transport, and service their own computer demonstrations. Internet access is possible for Electronic Posters. Electronic displays must be displayed for the entire meeting. Abstracts will be published in Medical Physics.

Paper Presentation

Paper presentations are 4' x 4' poster presentations, with less emphasis on the presentation, but rather a short treatment of the scientific topic. Typically, a paper presentation will be twelve 8½ x 11" pages posted in the space provided. Papers must be displayed for the entire meeting. Abstracts will NOT be published in Medical Physics.

Note: The individual names of contributing authors MUST appear on all posted presentations.
