PROCESS FOR PUBLISHING AAPM TASK GROUP REPORTS

Step 1: During the yearly budget submission process, each Council Chair is responsible for reporting to PUBCOM Chair an estimated number of reports that they believe will be sent to publication that year. This will allow PUBCOM, with assistance from HQ, to estimate the budget for task group reports for the coming year.

Step 2: Task Group Chair submits report to parent committee for approval. Corrections or changes can be requested at this time by the parent committee.

Step 3: Once the report is approved by parent committee, the Task Group Chair forwards the report to the parent council for approval. Corrections or changes can be requested at this time by the parent council.

Step 4: If either the Task Group Chair or the parent committee recommend that the report be published in the Medical Physics Journal, the report is forwarded to the journal and the Editor assigns a Referee to work with the parent council in reviewing the report.

Stand Alone Reports (those not published in Medical Physics Journal)

Step 5: Once the appropriately revised report is approved by the parent council and the Medical Physics Referee, the Council Chair will forward the report to the Medical Physics Journal. After approval by the Editor, the journal reports to the HQ Programs Manager that a report has been accepted for publication in Medical Physics."

Step 6: Once the report is approved by the Chair of PUBCOM, the PUBCOM Chair notifies in writing the HQ Programs Manager and Task Group Chair.

Step 7: Task Group Chair submits to HQ Programs Manager a hardcopy and electronic file of report following Medical Physics Publishing's guidelines as outlined below.

Step 8: HQ Programs Manager assigns an ISBN number, a report number and forwards it to Medical Physics Publishing.

Step 9: Any report that is longer than 90 hardcopy pages in 8½" X 11" format must be discussed with the Executive Director to determine how best to distribute. A non-standard report may be too costly to distribute free to all members.

Step 10: Medical Physics Publishing provides a production time line to HQ Programs Manager.

Step 11: HQ Programs Manager sends monthly task group production status reports to the Chair of PUBCOM.

Step 12: Medical Physics Publishing sends a proof of the report to the Task Group Chair before the report is printed and at that time notifies HQ about the production status.

Step 13: Medical Physics Publishing sends HQ a "PDF" of the report while the report is in process. This "PDF" is posted on-line for AAPM members.

Step 14: HQ Programs Manager orders 50 more reports than the current monthly mailing counts. Medical Physics Publishing has agreed to buy back the overage.

Step 15: Once the report is printed, it is mailed to each AAPM Member in a monthly mailing. Medical Physics Publishing will have additional copies available for purchase.


Reports Printed in Medical Physics (8½" X 11" reports)

Step 5: The Medical Physics Journal reports to the HQ Programs Manager that a report has been accepted for publication in Medical Physics.

Step 6: Following publication in the journal, HQ Programs Manager requests the video pages from the AIP Production Office.

Step 7: HQ Programs Manager assigns an ISBN number, a report number and forwards it to Medical Physics Publishing for printing.

Step 8: Medical Physics Publishing makes copies available for purchase.



GUIDELINES ON PREPARING REPORTS FOR PRINT

1). Medical Physics Publishing has requested an electronic copy and a hard copy of each report. The hard copy is used to verify any Greek symbols, equations, etc.

2) Formatting: reports should be formatted as little as possible. 8½ " x 11" page, one inch margins, no headers and double spaced.

3) Figures: should not be embedded in the text. If there are figures, the Task Group should send a good quality hard copy of the figure. If the figures are on disk, the Task Group should send the figures as separate files in the original graphic format, i.e., TIF, EPS, WMF, PICT (no JPEG or GIF files). Electronic graphic files must be at least 300 dpi and a hard copy should still be forwarded.
