ActivitiesCommittee and Task Group work has been and remains a primary mechanism by which AAPM advances its mission and shapes the discipline. However, there is significant growth in the number of AAPM committees (not in pace with membership growth), duplication of effort, missed opportunity for coordination and harmonization, inefficient communications within and across groups, and inefficient utilization of HQ staff in support of the AAPM groups. Thus, there is a significant opportunity to revisit the administrative, internal communication, and project management processes at AAPM.
 
The overall objective of this AH is 1) to advise the Board regarding how the AAPM administration in general can be structured and organized for better success, and 2) to contemplate and then advise concrete actions to the BOD regarding how AAPM structure and HQ support can be refined to better serve the AAPM mission.
 
The working space of the committee might include the following:
 
  • Improve AAPM-wide administrative culture and processes (HQ and volunteers)
    • Consolidate common administrative activities across all AAPM activities
    • Foster executive decision-making within the AAPM – in directing the effort and running meetings
    • Streamline internal communication processes within AAPM (e.g., email traffic, etc.)
    • Enhance accountability within the AAPM workspace for under-progressing groups
    • Consider project management intelligence (or a system) across the AAPM to ensure steady progress and accountability
  • Working with Council leadership, develop a consistent (cross-Council) set of goals for achieving administrative proficiencies including
    • Identify areas where weaknesses / bottlenecks degrade AAPM’s administration
    • Clarify (mind-map) and refine AAPM structure and AAPM “workspace” (structuring the Councils is not in the charge though refocusing might be)
    • Clarify and codify parallel entities across Councils (e.g., EDI, MP3.0, mentorship, review process, webinars, grants, etc.) that promotes synergies, harmonization, and alignment across Councils
    • Encourage cross-Council operative meetings
    • Seek strategic short- and long-term objectives for each individual AAPM entity
    • Develop a clear mechanism by which a committee can be gracefully retired or combined with another
    • Limit committee membership (advisory vs active?) and a maximum number of active memberships per volunteer
    • Consider term-limit/renewal for AAPM committees
  • Work with the Executive Director to re-align HQ staff to support the re-vitalized AAPM structure and workspace
    • Ensure adequate and precise staff support – to enhance more ownership of staff and administrative proficiency of the whole work
