Exhibitor Personnel Registration Information

On-Line Personnel Registration

The Exhibitor Personnel Registration system is now open. Exhibitors are allotted Complimentary Personnel Registrations based on booth size. Exhibitors may purchase additional Full Registrations or Technical Exhibits Only Registrations as necessary.

Please note: If you would like to have your personnel badges mailed to you prior to the start of the meeting, your registrations and payment must be complete by JUNE 19.  After June 19, you may still register your personnel but the badges WILL NOT be mailed – you will have to pick them up on-site. NO REFUNDS for Exhibitor Personnel Registration cancellations after June 19, 2009.

For registrations received by JUNE 19 - the Exhibitor Contact will be mailed a company packet via UPS containing personalized envelopes for ALL exhibitor personnel.  The personalized envelopes will contain the name badge, badge holder, and social function tickets. 

IMPORTANT: In order to make personnel registration changes on site, a badge MUST BE EXCHANGED for the new badge generated or FULL PAYMENT will be required.


Self Assessment Modules (SAMS)

Compilation of two Self Assessment Modules (SAMS) per year is a requirement for the Maintenance of Certification (MOC) process as defined by the American Board of Radiology (ABR). AAPM program organizers have identified sessions in Diagnostic, Nuclear Medicine and Therapy Physics to be offered with audience response technology at the annual meeting in 2009.

Number of SAMs sessions:

1) These sessions will allow those who require MOC to fulfill their SAMs requirements.
2) Credits for these sessions are available only to attendees who pre-register for the modules.
3) No SAMs registration will be offered on-site in California.
4) SAMS are available to Exhibitor Weekly (complimentary & paid) - not Hall Only.
5) $10 fee for this item.

Please note that SAMs sessions are open to everyone, but only those pre-registered for the audience response technology will be eligible to receive an interactive response unit. Questions will be asked during the SAMs sessions, and participants must answer electronically in order to receive certification There is no pass/fail. The idea is to assess knowledge gained during the session.

Each Complimentary Personnel Registration includes admission to the Technical Exhibits, Scientific Sessions & Symposia, AAPM Awards Ceremony and Reception, AAPM Night Out and Continuing Education Credits (each person must complete on-line survey and meet CAMPEP eligibility requirements).
Additional Full Registrations $500 each Includes admission to the Technical Exhibits, Scientific Sessions & Symposia, AAPM Awards Ceremony and Reception, AAPM Night Out and Continuing Education Credits (each person must complete on-line survey and meet CAMPEP eligibility requirements).
Technical Exhibits Only Registration $270.00 each Includes admission to the Technical Exhibits ONLY; no admission to Scientific Sessions.


Social Functions - Purchase of Additional Social Function Tickets

Exhibitors may purchase an unlimited number of social function tickets either pre-show via the Internet or on-site. Information regarding the online process will be included in the Online Exhibitor Service Kit.

The American Association of Physicists in Medicine will honor AAPM award winners during a ceremony followed by a wine and cheese reception on Monday, July 27. Please remember your tickets.

Night Out - Beach Party

Tuesday, July 28 • 6:00pm - 10:00pm
Walk outside the convention center along the palm tree-lined walkway to Arena Plaza, and join us for a Beach Party. Dance to live music of The Stellar Show Band in the Southern California breeze, or chat with colleagues while enjoying the following menu:

We've also enlisted the talents of a local face painter, caricaturist, and balloon sculptor. And don't miss the Giant Wave photo op - have a friend take a photo while you hang ten inside a curling wave.

Please note: Each adult Night Out ticket will include 1 drink ticket, good for beer or a glass of wine. Once your ticket is used, cash will be accepted. Nonalcoholic drinks will not require a ticket.

Yosemite Trek for the Adventurous

Immediately following the Annual Meeting, intrepid explorers may join "Mountain Man" Dave Jette, PhD on a Yosemite Trek, including a two-day ascent of famous Half Dome. Click here more information.

Tours

All tours depart from the Hall C Entrance, Anaheim Convention Center. Register for tours through AAPM on-line registration, beginning March 18. Deadline to pre-register for tours is July 14. Tour tickets may be available on-site, near the Companions' Welcome Center (Veranda Room, Marriott), if tours have not sold out.

Sunday, July 26 - The Charm of Old Towne Orange

Experience the charm of Old Towne Orange. Over 700 dealers of antiques and collectibles, art, dining, history and more have set up shop here. The quaint downtown, one perfect square mile in size, is listed on the National Register of Historic Places. The plaza was recently renovated to its 1930's splendor, with a tiled fountain and a rose garden.

Monday, July 27 - Hiking in Crystal Cove

Doug Thompson, an internationally recognized naturalist, expedition leader, lecturer, photojournalist and author will lead the group along the breathtaking shoreline of Crystal Cove in Laguna Beach. You'll learn provocative facts about Native American life, animal ecosystems, and the diverse life found along the shore. This tour includes a boxed lunch and bottled water.

Laguna Beach flourished as an artists' colony in the early 1900's, and now attracts visitors to its studios, galleries and boutiques. Guests will be guided by a Laguna art expert on a customized Art Walk, set against the beautiful beach scenery. The Art Walk concludes at Laguna's Gallery Row, where you'll have the opportunity to explore shops and enjoy a bite to eat on your own.

Wednesday, July 29 - Southern California Wine Tasting

Temecula Valley is Southern California's celebrated Wine Country. This excursion includes a private tour at one winery and tastings at two wineries. Wineries selected may include the Callaway Vineyard and Winery, Thornton Winery, Wilson Creek Winery and the Maurice Carrie Winery, each featuring their unique specialties. This tour includes a boxed lunch.

AAPM GAMMEX 5K Run/Walk

Tuesday, July 28 • 6:00am start time
This year the course will start and finish in front of the convention center.

Deadline to register is July 1. There is no on-site registration for this event.

Registered participants must come by the AAPM meeting registration area in the convention center on Monday, July 27, between 10:00am and 2:00pm, to sign a waiver and pick up a race number and t-shirt.

Complimentary Guest Badges

Each exhibiting company will receive EIGHT guest badge coupons. Exhibitors may distribute these coupons to preferred clients and associates they wish to have visit them in their booth during show hours. Upon arrival, the invited guest will need to go to the Exhibitor Registration counter in order to exchange the guest badge coupon for a guest badge. The guest badge is required for entrance into the exhibit hall. The guest badge is valid for one day of participation. If the same guest is invited to attend each day, the guest must bring a coupon to Exhibitor Registration for each day of participation.

Information regarding the request for additional guest badge coupons will be included in the Online Exhibitor Service Kit.

Please Note: Guest Badges are not to be used by Exhibitor personnel. Gross violation of this rule may be subject to the payment of a registration fee of up to $300 per violation.
