Inbound Shipments:

  • To be delivered no earlier than 3 days before the meeting. Shipment can arrive after March 2nd.
  • Shipment can be shipped to the following address (Please make sure to include all information indicated below on your address label):

  • Handling of up to 4 boxes (approximately the size of copy paper box) per vendor is included with the table fee. If you are shipping more than 4 boxes, charges will apply. Please complete and submit the Credit Card Authorization Form.
  • Once on site, the company contacts will need to sign for the shipment. A table will be set up in the reception area to request your shipment. After the shipment is signed for, it will be delivered to your table.

Outbound Shipments:

  • Prior to the conclusion of event, outgoing shipment must be arranged. Hotel staff will ask each company if they have any outgoing shipments. The hotel will work with each company directly to make arrangements.
  • The Grand America Hotel and AAPM will not be responsible for items left unattended.
  • Shipment must be picked up by March 8th.

Association Freight Services is the Official Air & Ground Carrier for the 2016 Spring Clinical Meeting. Please note, Association Freight will be on site to assist with outbound shipping requirements

  • The entrance to the Grand Ballroom will be locked each evening.  Please note, hotel staff will have access into the room after hours.
  • AAPM is NOT providing a security guard.
  • Exhibitors are responsible for the security of all display materials. If an exhibitor is displaying any items of value (equipment, computer lap tops, etc.) it is advised that such items be removed from the display table anytime the table is not staffed.
  • Storage of shipping containers is the responsibility of the exhibitor.  Containers may be stored under tables or take equipment to your hotel room at the close of the show for the day. 
  • The Grand America Hotel and AAPM Staff will NOT be responsible for any missing equipment or materials.
  • Audio Visual and Electrical services are provided by PSAV. Please note: Standard power and Wi-Fi access is included with the booth rental fee. Use the following form to order wired internet or other AV items:
