The work in support of AAPM’s vision and mission is most often accomplished under the guidance of an existing AAPM group. There are times though when a specific project is better addressed by a separate group, with broader representation from the various stakeholders, with a specific charge and a defined timeline for completion, typically 1 year.

While the President is authorized to appoint ad hoc advisory committees during their entire term, special consideration should be given when the work of an ad hoc advisory committee is expected to span into the next year to ensure that the group will not detract energy and attention from the focus of a new President’s initiatives. It is suggested that the President-Elect work in the 4th quarter to identify projects and special initiatives that would be best addressed by an ad hoc advisory committee to allow the new group to begin their work as early in the next year as reasonably possible. Before appointing an ad hoc, a President should seek EXCOM’s input on the charge and roster as a best practice, though the President is not bound by the feedback received from EXCOM. If there are emergent issues requiring the attention of an ad hoc advisory committee late in the calendar year and the work cannot reasonably be completed by the end of the appointing President’s term, the President should work with the President-Elect to make sure the appropriate oversight and support is provided in the ensuing year.The President-Elect determines whether to recommend to the Board that an extension beyond one year be granted to an ad hoc advisory committee.

Where possible, action on recommendations that come from the work of an ad hoc advisory committee should find a permanent home in the committee structure of AAPM, either in existing or new groups that may be recommended by the ad hoc; these new groups will be established by the existing Rules governing the formation of new groups.
